Choosing AI software in 2026 has paradoxically become harder than before. Models are (almost) commoditized, demos are stunning, yet projects often stall for three very down-to-earth reasons: poor selection criteria, underestimated TCO, and neglected integrations.
For an SMB or scale-up, the goal isn't to buy "the best AI tool," but to select a solution that integrates into your workflows, holds up in production (reliability, security, compliance), and whose total cost remains predictable.
What "AI software" covers (and why it changes your criteria)

If your use case requires reading information (knowledge), the core issue becomes the quality of your sources and often a RAG setup (see definition: Retrieval-Augmented Generation (RAG)).
If your use case requires acting (writing in a CRM, triggering a refund, creating a task), the core issue becomes the integration, authorization, and guardrail layer.
Selection criteria: a "production-oriented" grid, not a "demo" one
Good AI software is rarely the one that "answers best" in a demo. It is the one that reduces a recurring cost or increases measurable revenue, without opening a hole in your IT system.
1) Business value and KPIs (before the product)
Before comparing tools, formalize a very simple sheet:
Who uses the tool, on which workflow, how many times a week.
Which KPI you are trying to improve (processing time, resolution rate, conversion, cycle time, errors).
What your "baseline" is today (otherwise you will measure usage, not impact).
This step seems obvious, but it prevents buying "generalist" AI software for a need that actually requires business integration.
2) Data: sources, rights, and "source of truth"
Three questions must have an explicit answer:
What data does the tool consume? (tickets, CRM, documents, emails, product database)
What rights are necessary? (read-only, write, actions)
Where is the source of truth? (helpdesk, Notion/Confluence, ERP, drive)
In scaling organizations, the problem isn't "no data," it's "too many versions." An AI assistant plugged into inconsistent sources mechanically produces inconsistent results.
3) Security and privacy (concrete, verifiable)
For an SMB, the minimum control to demand is pragmatic:
Retention and training terms (whether or not data is used to improve the model).
Partitioning (individual accounts vs. enterprise account, access management).
Logs and audit (who sent what, when, with what output).

4) Compliance (GDPR and AI Act) without over-engineering
You don't need an "enterprise-grade" setup to start, but you do need a minimum:
A simple data classification (non-sensitive, sensitive, highly sensitive).
A usage rule: what is allowed, forbidden, and under what conditions.
Sufficient traceability to investigate an incident.
For the European framework, the reference text is the European AI Act (to be consulted depending on your context, especially if you deal with high-risk use cases).
5) Reliability: how the tool handles errors
"Pro" AI software must demonstrate how it behaves when:
it doesn't know,
sources are contradictory,
the user asks for something forbidden,
it needs to escalate to a human.
In support or knowledge cases, the simple requirement is: sourced answers, and the ability to say "I don't know."
6) Integrations: APIs, webhooks, SSO, and real connectors
Don't settle for a marketing list of "200+ integrations." Check:
Is there a documented, stable, and sufficiently rich API?
Does the product support SSO (at least SAML/OIDC) if you have IT constraints?
Do the connectors cover your key objects (tickets, contacts, companies, orders), or only superficial functions?
If you already work with a CRM, CRM integration isn't "nice to have"; it's often the point that tips a project from "gadget" to "workflow."
7) Reversibility and lock-in
A good test: ask what happens if you leave in 12 months.
Can you export your data, configs, prompts, sources, logs?
What happens to the history, evaluations, playbooks?
Are the exit costs realistic?
8) Adoption: an underestimated criterion (yet central to TCO)
Profitable AI software is one the team uses reproducibly. Without rituals, templates, and operational training, usage becomes "shadow AI" and you lose control.

Integrations: the 4 levels that determine your time-to-value
Integration is not a technical bonus. It is what determines whether your AI software becomes:

Level 1: Standalone (copy-paste)
Fast to test, low initial cost, but fragile adoption and risks (data, quality). Often useful for writing, ideation, or non-critical internal support.
Level 2: Integrated into existing SaaS
The AI is in the CRM, helpdesk, or project tool. This is often the best compromise to start, provided you verify the actual depth of the features.
Level 3: Connected to your sources (RAG)
You plug the AI into your knowledge base and "source of truth" documents, with citations and access rules. This is the level that transforms a generic assistant into a reliable one.
Level 4: Actionable (tool-calling, agents)
The AI can trigger actions in your tools. Here, you must demand: minimal permissions, validations, idempotency, and logs. Otherwise, you industrialize... errors.
